Reporting to the Senior Office Manager your main responsibilities will be:

Meet and greet all visitors who arrive at the reception in line with company standards;

Answer the phone in a professional and accommodating manner;

Ensure that the reception is manned and works in line with set guidelines;

Supporting internal and external meetings (room booking, setup, coordination);

Work with our travel company to coordinate sophisticated travel itineraries for consulting;

Distribute incoming mail, newspapers, and packages. Take care of the outgoing mail;

Order couriers and taxis etc. ;

Meeting room bookings / parking bookings;

Ensure that the reception back-up manual is always correctly updated;

Ensure that the client area including the reception and meeting rooms are representative, tidy and well equipped;

Ensure all lists and other name related areas are at all times correctly updated: phone lists;

Assist in practicalities regarding new employees;

Ensure that office supplies are ordered within budget and guidelines;

Should have a good understanding of all office security procedures, with particular attention to reception safety and making sure all doors are securely closed;

Instruct new employees on how to use the meeting room equipment if necessary;

Any other duties which are compatible with the main role objective;

Working with our travel company to coordinate sophisticated travel itineraries for consulting

Manages office supplies, materials, and food provisions, including placing orders, processing payments, and organising deliveries;

Acts as the key contact person for the building regarding any office-related needs or issues;

Coordination with service providers;

Liaising with building management, technical services, and security.

Perfil ideal

The ideal candidate should have:

Fluent level of written and spoken English, Spanish and local language.

Computer literate, Microsoft Office package (Outlook, Word, Excel, PowerPoint)

Reception experience and a hospitable mindset

Good communication skills

Experience on a professional corporate environment

Representative and professional

Service focused

Proactive, flexible, and able to take own initiatives

Good verbal and written communication skills

Ability to multi-task in an extremely fast-paced environment

Have an eye for detail and be a stickler for accuracy

Vantagens

Gross Base Annual Salary between 16.800€ and 18.200€
