Travel
Ensure my travels are as inspiring as possible, non-routine, and smooth and efficient as possible
- Evaluate different destination (find interesting articles, sort by degree of relevancy, summarize key messages, recommend, coordinate feedback from group of friends)
- Book airlines (compare prices, optimize travel time, manage points, proactive check-in, layovers, loyalty programs)
- Book hotels - or holiday villas (find best hotels - boutique especially, negotiate systematic upgrades, ensure good welcoming)
- Coordinate with friends travel consensus, prepay and follow-up with reimbursements
- Before and during travel, anticipate logistics (visas, temporary local phone, ground travel to/from residence, local connections and intros, local events that might impact stay, etc.)
Admin
Be responsible for all admin things in my life
- Collect all travel and expenses receipts
- Liaise with accountants of personal tax lawyers and holding companies for collection of receipts and docs
- Reconcile and verify credit card billing quarterly
- Archiving in orderly way mail received
- Liaise with bankers to execute wires
- Execute new passport demands and other admin procedures (e.g., certificate of residency in PT)
Everyday errands
- Drop and collect dry-cleaning, or small reparations
- Coordinating with other Services when necessary (e.g., car repair, handy man, etc.)
Life management
Take-over things to improve my life in general
- Tracking birthdays and finding amazing gifts from friends and family
- Finding things i want to buy and organize deliveries (e.g., a certain old edition of golf shoes, etc)
- Helping me decorate my apt and future places
Perfil ideal
Key skills & competencies
- Problem-solving : clearly defining à problem, stating the goal ("what success looks like"), breaking down in smaller problems, collecting information, conducting appropriate analyses, and providing a clear recommendation
- Communicating : structuring a message clearly, with "top-down" communication and selecting the right channel (email vs WhatsApp, etc.)
- Discretion and trustworthiness : being conscious of online anonymity and confidentiality, and self-imposing a very strict policy of not sharing anything that is done in through this job (even with spouse)
- Initiative : feeling empowered to make decisions on my behalf, to minimize interactions and validations (to increase gradually with time, of course). Doesn't easily take "no" for an answer
Profile
- 3-5 years study after high school (preferable scientific degree, or business)
- Fully proficient in English & Portuguese (writing - with no spelling mistakes - and speaking), business competency in French is a strong plus
- 3-5 years of assistant experience OR with solid business background (wanting to focus on family life instead)
Expectations
- Be available and flexible with schedule (variable time commitment from week to week)
- Needs to be very responsive (but alternatively will have periods of time with little requests)
- Home office ok
