We are seeking a highly organized and proactive Personal Assistant /Executive Assistant to support together our Group Operations Center and our Executives located abroad.

Descrição

Executive Assistant

  • Provide high-level administrative support to senior executives located abroad;
  • Manage executives' calendars, including scheduling meetings, appointments, and travel arrangements;
  • Prepare meeting agendas, take minutes, and follow up on action items;
  • Draft, edit, and proofread documents, reports, and presentations;
  • Handle confidential information with the utmost discretion;
  • Assist with the preparation and coordination of corporate events and projects;
  • Serve as a liaison between executives and other staff members;
  • Conduct research, upload and compile data to assist with decision-making.



Office Management

  • Oversee daily office operations to ensure a smooth workflow;
  • Manage office supplies, inventory, and equipment maintenance;
  • Coordinate with IT to address technical issues and ensure the functionality of office systems;
  • Handle correspondence, including emails, phone calls, and mail;
  • Maintain a clean, organized, and professional office environment;
  • Plan and coordinate office events, meetings, and conferences;
  • Ensure compliance with health and safety regulations;
  • Manage office budget and expenses, including processing invoices and managing petty cash.

Perfil ideal

  • Bachelor's degree in Business Administration, Management, or related field preferred;
  • Proven experience as an Office Manager, Executive Assistant, or in a similar role;
  • Over 5 years of experience in similar roles;
  • Exceptional organizational and multitasking abilities;
  • Strong written and verbal communication skills;
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and office management software;
  • Ability to handle sensitive information with discretion and confidentiality;
  • Excellent problem-solving skills and attention to detail;
  • Ability to work independently and as part of a team;
  • Professional demeanour and a positive attitude.
